Privacy Policy

1. Overview

ClayMetrics LLC ("ClayMetrics", "we", "us", "our") provides a platform for clay shooting score tracking, performance analytics, and event management, available through our website and our iOS and Android applications. This Privacy Policy describes the types of information we collect when you use the ClayMetrics websites, applications, and related services (collectively, the "Service"), how that information is used, when it may be disclosed, and the choices available to you.

By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you disagree with any part of this policy, please discontinue use of the Service.

2. Information We Collect

Information You Provide

When you register for an account, complete your profile, or interact with the Service, you may provide us with:

  • Identity information: your first name, last name, email address, and chosen username.
  • Optional profile details: such as your NSCA membership number, which you may provide at your discretion.
  • Shooting and event data: scores, results, event details, and records of who participated in each event. When you provide a membership number, results from publicly available shoot records that match it are associated with your account.
  • Scorecard photos: images of paper scorecards you capture or upload, which we process to extract scores.
  • Messages: messages you send to other users through the Service.
  • Tax information: if your competition winnings reach legal reporting thresholds, taxpayer information (the details on IRS Form W-9, including your taxpayer identification number) is collected to satisfy tax reporting requirements and made available to the club or organizer who is the payer of record for their required tax filings.
  • Communications: any messages, feedback, or support requests you send to us.

Information Collected Automatically

When you use the Service, certain technical data is recorded automatically to maintain security and ensure proper operation. This may include your IP address, device and browser information, and activity logs. If you enable notifications, we store a device token used to deliver them. If the application encounters an error, diagnostic information about the failure (such as device model, operating system version, and what the application was doing at the time) is collected through an error reporting service acting on our behalf.

Product Usage Information

We also collect a small set of first-party product-usage events inside the application, described in Section 10 (Product Analytics).

Location Information

Some features can use your device's location, and only with your permission: showing you nearby clubs, events, instructors, and local conditions. Location is used only when you use those features. You can revoke location access at any time in your device settings.

Payment Information

If you make a purchase through the Service, all payment details (including card numbers and billing information) are collected and processed exclusively by our third-party payment providers. Pro subscriptions purchased inside our mobile applications are processed by Apple's App Store or Google Play under their own terms and privacy policies. Club, organization and instructor plans and scan credits are purchased on our website and processed by Stripe. Subscription records across these channels are managed for us by RevenueCat and Stripe. ClayMetrics does not store full payment card numbers. We do keep records of your purchases, registrations, subscription status, and any competition payouts owed to you.

3. How We Use Your Information

We use the information described above for the following purposes:

  • Operating the Service: to create and manage your account, authenticate your sessions, deliver scoring and analytics features, and display your data within the platform.
  • Communications: to send you transactional messages such as sign-in messages, invitations, and service-related notices.
  • Safety and integrity: to detect and prevent fraud, abuse, and unauthorized access, and to enforce our Terms of Use.
  • Legal compliance: to meet applicable legal obligations or respond to valid legal process.
  • Improvement: to analyze how the Service is used so we can maintain, troubleshoot, and improve it, as described in Section 10 (Product Analytics).

4. When We Disclose Your Information

With other users

Certain information is visible to other users by design. Your name and username appear on your profile. Shooting scores, event participation, and competition results are visible to other participants in those events and may appear on results boards and leaderboards. Messages you send to other users are visible to their recipients.

With service providers

We engage a limited number of third-party vendors who assist with hosting, email delivery, weather data, payment processing, product analytics, and security. These providers are contractually required to protect your information to a standard consistent with this policy and to use it only to provide services to us.

For legal reasons

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, to investigate potential violations of our Terms of Use, or to respond to an emergency.

In a business transfer

If ClayMetrics is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

We do not sell your data

ClayMetrics does not sell or rent your personal information to third parties.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service to you. If you request account deletion, we will remove your personal data from our active systems within a reasonable timeframe, except where retention is required by law or necessary to resolve disputes, enforce agreements, or prevent fraud. Results drawn from publicly available shoot records remain public at their source and may continue to appear in the Service without connection to any account.

6. Security

We use commercially reasonable technical and organizational safeguards designed to protect the information we hold. However, no method of electronic transmission or storage is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security, and you use the Service at your own risk.

7. Children Under 13

The Service is not intended for children under the age of 13, and we do not knowingly collect information from individuals in that age group. If you are a parent or guardian and believe your child has provided personal information to us, please contact us and we will take prompt steps to remove that data.

8. Your Choices and Rights

Depending on your location and applicable law, you may have the right to:

  • Access the personal information we hold about you.
  • Request that we correct inaccurate or incomplete information.
  • Request deletion of your account and the personal data associated with it.
  • Withdraw consent to data processing activities based on your consent.

You may update your profile information directly within the Service. You can delete your account and its associated personal data at any time in the application under Settings → Account, also available at app.claymetrics.com/settings/account. For other requests, contact us at [email protected]. We will respond within a reasonable period. Note that some information may be retained after account deletion where required for legal compliance, dispute resolution, or fraud prevention.

9. Cookies and Similar Technologies

Our application (app.claymetrics.com). Within our logged-in application we use cookies and similar browser storage for authentication, session management, and, unless you opt out, the first-party product analytics described in Section 10. We do not use advertising cookies, third-party ad trackers, or cross-site tracking anywhere in the application.

Our marketing website (claymetrics.com). When you visit our marketing website, we use cookies and similar technologies provided by a third-party website-visitor identification service to collect certain information about your visit. This includes information about your visit, such as pages viewed, device and browser information (including IP address), and any contact information you provide. This information may be combined with data from third-party providers to build a profile used for our marketing and sales outreach. This technology operates only on our marketing website, never within the logged-in application, and does not access your account data.

Your choices. If you are a resident of a U.S. state that provides such rights, you may opt out of this collection at any time using the “Your Privacy Choices” link in our website footer. We also honor Global Privacy Control (GPC) browser signals as a valid opt-out. When you opt out, the visitor-identification technology is disabled for your device.

10. Product Analytics (In-App)

What we collect. To understand which features are used and to improve the Service, the application records first-party product-usage events: for example, which screens you view, when a practice is started or completed, and when a subscription starts or ends. Events are associated with your ClayMetrics account ID so we can measure usage over time.

What we do not collect. Analytics events never include your name, email address, or precise location. We do not use session recording, keystroke capture, or automatic click tracking in the application. Analytics data is processed in the United States by a product-analytics service acting on our behalf. Analytics data is never sold, rented, or shared for advertising and is not used for cross-site or cross-app tracking.

Your choice. You can turn product analytics off at any time in the application under Settings → Privacy → “Share usage analytics”. Opting out stops all product analytics collection for your account. In the web application we also honor Global Privacy Control (GPC) browser signals as a valid opt-out, even if the in-app toggle is on.

11. Do-Not-Track Signals

Some browsers offer a "Do Not Track" setting that sends a signal to websites you visit. There is no universally accepted standard for how to respond to these signals. Outside of the Global Privacy Control signal described in Sections 9 and 10, the Service does not currently alter its behavior in response to Do-Not-Track requests. If an industry standard is established in the future, we will revisit this practice.

12. International Users

The Service is hosted and operated in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer and acknowledge that data protection laws in the United States may differ from those in your country of residence.

13. Changes to This Policy

We may revise this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. If we make changes that significantly affect how we handle your personal information, we will make reasonable efforts to notify you, such as by posting a notice within the Service or sending you an email. We encourage you to review this page periodically.
